Getting Started with POS
Retail is fast-paced. You need a system that captures sales instantly, syncs inventory automatically, and keeps your lines moving. The POS App in Sevenledger is built to do exactly that.
Whether you have one counter or ten franchise locations, follow this guide to set up your retail terminal and start ringing up sales.
Setting Up Your Counter
1. Define Your Store Location
Before you can sell, you need to tell the system where the sale is happening.
- Navigate to POS > Configurations > General Settings.
- Click + Add to create a store (e.g., “Sankhamul Store”).
- Link Inventory: Assign a specific Warehouse to this store. This ensures that when you sell a shirt here, it subtracts stock from the correct physical location.
- Reconciliation: Set up your “Cash Over” and “Cash Short” accounts to handle any discrepancies in the drawer at the end of the day.
2. Configure Payment Methods
When a customer hands you cash or scans a QR code, where does that money go in your books?
- Navigate to Payment Settings and select your store.
- Map Accounts: Link payment buttons to ledgers.
- Example: Map the Cash button to your Petty Cash or Cash Drawer ledger.
- Example: Map Wallet (Fonepay) to your Bank Account.
- Enable Credit: Toggle the Credit switch if you allow trusted customers to buy now and pay later (Khata system).
3. Assign Staff
Secure your terminal.
- In the General Settings (Store setup), assign specific Cashiers to the store. This prevents unauthorized staff from accessing the cash register at this location.
4. Launch Your First Session
Now you are ready to open for business.
- Go to the POS Terminal menu.
- Click Start Session and select your store (e.g., “Sankhamul Store”) from the popup.
- You are now in the active sales dashboard, ready to add items to the cart!.
5. Process a Sale
- Add Items: Tap products in the catalog or scan barcodes.
- Checkout: Click Proceed, select the payment mode (e.g., Cash or Bank Transfer), and finalize the order.
- Receipt: The system will automatically generate a thermal-printer-friendly receipt.
Sevenledger Tip: Always Close Session at the end of the day. This creates a “Z-Report” snapshot of your daily sales and helps you confirm that the cash in your hand matches the cash in the system.
