POS Settings

Running a retail chain—or even a single busy shop—requires tight control over who is selling what and where the money is going. The POS Settings is your control room for managing physical store locations, assigning staff, and mapping your cash registers to your accounting ledgers.

To access this area, open the POS App and navigate to Settings.


1. General Settings (Store Management)

This is where you define the physical (or digital) locations where sales happen. Each “Store” in the POS app acts as an independent terminal with its own stock and staff.

Creating a New Store

Click the + Add button to set up a new location.

Basic Details

  • Name: Give your store a clear name (e.g., “Sankhamul Store” or “Pop-up Stall”).
  • Warehouse: Link this store to a specific inventory source. When a sale is made here, stock will automatically deduct from this warehouse.

Staff Access

  • Cashiers: Select which team members are allowed to log in and sell from this location. This prevents staff from accessing terminals they aren’t assigned to.

Reconciliation Accounts

When you close a shift, the cash in the drawer rarely matches the system exactly down to the penny. These settings handle those small differences automatically.

  • Cash Over Account: Select the ledger where extra cash (surplus) should be recorded.
  • Cash Short Account: Select the expense ledger where missing cash (shortage) should be recorded.

2. Payment Settings

Money collected at the counter needs to land in the correct bank or cash account. The Payment Settings allow you to map every button on your POS screen to a specific financial ledger.

Store-Specific Config: Payment settings are configured per store. You must select a store from the dropdown before you can edit these settings.

Mapping Payment Modes

To add a payment button to your POS terminal:

  1. Click + Add.
  2. Payment Mode: Choose the method (e.g., Wallet, Cash, Cheque).
  3. Account: Select the specific ledger where these funds should be deposited.
    • Example: Map “Cash” to your Petty Cash or Cash Drawer account.
    • Example: Map “Wallet” (like Fonepay) directly to your Nabil Bank account.

The “Credit” Feature

Do you allow trusted customers to buy now and pay later (Khata)?

  • Credit Toggle: Switch this On to allow cashiers to complete an order without receiving full payment. The unpaid amount will be recorded as Accounts Receivable against the customer’s profile.

Setup Tip: If you leave these settings untouched, the system will use default accounts. However, for accurate reconciliation, we strongly recommend manually mapping “Cash” to a dedicated Cash Account for each store.
